Executive Assistant to CEO & CFO (Associate Director level)

Location: London

About the Role

We're recruiting on behalf of a critical partner to Financial Institutions, offering a comprehensive range of credit management solutions including advisory services and strategic management of outsourcing. Powered by their own bespoke technology platform, they provide end-to-end solutions across multiple asset classes with a global reach.

They're looking for an experienced Executive Assistant to provide an exceptional level of support to the CEO and CFO, while also managing the admin department and its associated responsibilities. This is a broad role combining high-level PA support with oversight of Global Health & Safety compliance, contract management, and office facilities across global locations.

Responsible For

Personal Assistant support for CEO and CFO

Core Responsibilities

Extensive diary management

Building strong relationships with key clients and their PAs

Preparing paperwork and presentations ahead of meetings

Ensuring the CEO and CFO keep in regular contact with other offices and direct reports

Travel bookings and expenses

Liaising with board members and scheduling quarterly meetings

Fielding phone calls and taking messages

Daily management of the admin team, including conducting annual appraisals

Maintaining and updating the Global Health and Safety policy, and coordinating with local H&S officers to ensure compliance across all locations

Managing the Contract Management System, ensuring all contracts and leases globally are entered and renewals/break dates are tracked

Supporting global offices with initiatives such as security systems, hot desking, and office equipment

Ad hoc projects, including office relocations and moves

Skills and Competencies

Previous experience working as a PA at CEO / C-Suite level

Ability to prioritise tasks on a continuous basis

Self-motivated with a can-do attitude

Able to work resiliently under pressure

True team player

Exceptional organisational skills

Advanced skills in MS Office applications, including Outlook, Excel and Word

Other Skills Required, Essential or Desired

Previous EA/PA experience

Advanced level of Microsoft Office

Experience of H&S regulations and local requirements
